How to Order Polo Shirts for a Team, Staff or Event
Five steps for a smooth group order: counting people, choosing colours, collecting sizes properly, timing, and the questions to ask before you commit.

In short: decide four things before you contact a supplier — how many polos, which colour or colours, which sizes, and when you need them. With that list ready, one message is usually enough to get a clear answer on availability and price.
Why polos work for groups
A polo is a popular choice for staff, teams and events for simple reasons: it has a collar, so it looks neat; it is comfortable for a full day; and it suits people of different ages and builds. A group in the same polo is recognisable at a glance, which is the whole point of dressing a team alike.
Step 1: Count people, then add a margin
Start with a list of names rather than a rough number. Then think about spares: people join, sizes turn out wrong, and a polo gets damaged on the day. Ordering a few extra at the start is usually simpler than arranging a second, small order later — ask your supplier whether that is the case for them.
Step 2: Choose the colour
- One colour for everyone is the clearest look and the easiest to organise.
- Different colours for different roles — for example organisers in one shade and volunteers in another — helps visitors find the right person.
- Think about where it will be worn. Strong colours stand out in a crowd; quieter ones suit an office or a formal venue.
Our own polo comes in four colours: beige, lavender, mustard yellow and red. Our guide to choosing a polo colour describes each. Because screens show colours differently, ask to confirm the shade before committing if an exact colour matters.
Step 3: Collect sizes properly
Sizes cause more problems in group orders than anything else. A few habits prevent most of them:
- Ask each person, rather than guessing on their behalf.
- Ask for a chest measurement as well as "my usual size", because sizes differ between brands. Our guide on how to measure for a polo shirt shows how to take it in two minutes.
- Compare against the supplier's size chart, not against another brand's.
- Keep everything in one list — name, size and colour — so nothing is lost between messages.
If someone is between two sizes, how a polo shirt should fit explains which way to go.
Step 4: Know your date
Tell the supplier the date you need the polos in hand, not the date of the event, and leave time to hand them out and deal with any exchange. Ask early: availability of particular sizes and colours can change.
Step 5: Ask the right questions
When you enquire, it helps to ask:
- Are all the sizes and colours I need available in these quantities?
- What is the price for this quantity?
- How and when will they be delivered?
- What happens if a size does not fit?
